How to automatically create cases for records

When new or existing records adhere to certain criteria, it can be a good moment to create a case to screen the company or contact. In this initial screening, likely a Preview or In review case, hits can be found which could indicate a risk associated with the company or contact. A workflow can be beneficial to create these cases automatically when certain criteria are met.

To set up this workflow, the following can be configured:

  • Trigger:
    • When a record meet these conditions: Lead status is any of In ProgressConnected, or Open Deal and Lifecycle stage is Sales Qualified Lead and Industry is any of Real estateVirtual asset services, or Wealth management (and other industries you prefer to include).
  • Actions:
    • Create case: Create a case with the Case status Preview, add the Company name of the contact record as the Client name.
    • Change case assignee: Set the User email or Group name as the Case assignee.

To set up this workflow for both contacts and companies with linked cases where new hits are found. Two workflows must be created, one based on contact records and another based on company records.
